HOA Hunter is a business tool, operated by HOA Hunter Inc. ("HOA Hunter", "we", "us"), that helps contractors and service companies find and contact Florida homeowner and condominium associations and homeowners. This policy explains what information we collect, where it comes from, how we use it, and the choices you have.
When you create an account or are added by your company we collect your name, email address, phone number, company name and role, and a password (stored only as a one-way hash). If you subscribe, payments are processed by Stripe; we do not see or store your full card number.
While you use HOA Hunter we record what you do in the product — for example searches, records opened, leads claimed, notes, and emails sent — along with sign-in times. We use this to run the service, show your team's activity, enforce plan limits and usage limits, prevent misuse and scraping, and support you.
HOA Hunter contains information about Florida associations and the people connected to them, such as names, board positions, mailing and property addresses, phone numbers and email addresses, and property details such as roof permit history. This information comes from:
We provide this information to customers only for contacting associations and homeowners about their businesses' services. Customers may not resell it or export it in bulk, and each customer only sees the areas they are licensed for.
Your choices: if you are in our records you can stop emails, hide your contact details, or ask us to remove you on our opt-out page. To correct your information, or if you prefer, email support@hoahunter.com. Every email sent through HOA Hunter has an unsubscribe link; once you unsubscribe, no customer can email you through HOA Hunter again. Phone numbers are checked against the Do Not Call registry where available and flagged for customers.
Customers can connect their own Gmail or Outlook mailbox so they can send individual emails from inside HOA Hunter. When you connect, HOA Hunter only requests permission to send email on your behalf. It cannot read, delete or change your mail, and it does not access your inbox, contacts or calendar.
Emails you send go out from your own mailbox, appear in your Sent folder, and replies come back to your inbox. We keep a record that an email was sent (recipient, subject and time) so your team can see it on the lead. We do not store the message body.
Link tracking and replies. We do not track whether an email is opened. Links in an email to the sending company's own website may carry a short code, so that when the recipient visits that page or fills out a form there, the company's website tells HOA Hunter and the visit is recorded on the lead (time, page, and whether a form was sent — not what was typed into it). Replies to these emails may be routed through reply.hoahunter.com and forwarded, as plain text, to the sender's mailbox — only when the reply comes from the person (or organization) the email was sent to and its domain authenticates it. Such a reply stops further emails in that sequence, and its text (with simple formatting, no images) is kept for one year so the sender and their company's administrators can read and answer it in HOA Hunter; attachments are neither kept nor forwarded, only their names. Replies we can't verify are not kept. Our email provider, Resend, receives those replies on our behalf.
The access tokens Google or Microsoft give us are encrypted and used only to send the emails you ask us to send. You can disconnect at any time in Settings → Email, which deletes them, or remove HOA Hunter's access from your Google or Microsoft account settings.
HOA Hunter's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, do not sell it, and do not use it to train AI models.
We use only the cookies needed to keep you signed in and to protect sign-in flows. We do not use advertising cookies or third-party analytics trackers.
We do not sell personal information about our customers. We share information only with service providers that help us run HOA Hunter, under contracts that limit their use of it:
We may also disclose information if required by law, to protect our rights or users, or as part of a merger or sale of the business.
Data is encrypted in transit, passwords are hashed, mailbox tokens are encrypted at rest, and access inside each customer company is limited by role and area. We keep customer account information while the account is active and for a reasonable period afterwards for legal, billing and security purposes, then delete or anonymize it.
You can ask to see, correct or delete the personal information we hold about you by emailing support@hoahunter.com. We will respond within 30 days. HOA Hunter is intended for businesses and is not directed at children under 16.
If we make material changes we will update the date above and, for customers, notify you in the app or by email. Questions: support@hoahunter.com.
